Executive Administrator/Bookkeeper

Summary:   Eagle United Methodist Church has an immediate opening for an executive administrator/bookkeeper.  The person in this role manages the administrative and financial affairs of the church, working with church members, staff, volunteers and committees to support the church’s mission to grow disciples for Jesus Christ.

Executive Administrator responsibilities:

  • Management of Eagle UMC facility, including
    • Coordinating volunteers, trustees and vendors for building, equipment and grounds maintenance
    • Documentation and follow-through on all necessary repairs
    • Organize spring and fall cleanup parties
    • Specific functions include managing volunteers, landscaping, carpet cleaning, parking lot maintenance, inspections, and snow removal
    • Manage facility usage by church members and outside groups (revenue-generating rentals), including the church’s commercial kitchen for caterers
    • Inventory of church property and equipment
    • IT equipment (phones, computers)
    • Security equipment (cameras)
    • Document and organize policies, procedures and processes
  • Lead Eagle UMC’s annual service fair to recruit volunteers for church service
  • Coordinate duties, projects and tasks with Administrative Assistant
  • Identify opportunities for efficiency and cost savings
  • Produce year-end reports as needed including annual Charge Conference
  • Main administrator of Eagle UMC online community (CCB)

Bookkeeper responsibilities:

  • Pay bills as required (in QuickBooks and online)
    • Verify authorization and proper account
    • Enter bills into QuickBooks
    • Coordinate signatures with the Treasurer & others
  • Process payroll as required each month
    • Collect timesheets from employees
    • Print checks and paystubs
    • Coordinate signatures from Treasurer & others
    • Pay payroll taxes
  • Process payments to Annual Conference as required
  • Perform bank reconciliations for 3 accounts, including cash management
  • Enter weekly deposits into QuickBooks & balance to finance secretary’s numbers
  • Compile required information and documents for church’s annual audit
  • Create monthly financial report for the Ad Board
  • Create year-end reports for the Annual Conference
  • Create and mail W-2 forms to staff

Qualifications:

  • Ability to embrace the vision, values and mission of the Eagle United Methodist Church
  • At least three years of experience as an admin and/or bookkeeper
  • Friendly outgoing personality – high energy
  • Sense of humor and positive attitude
  • Able to lead and work with volunteers, trustees, and staff
  • Strong interpersonal skills; able to work cooperatively with people

Specific Requirements:

  • Able to be present in the office 34 hours/week (standard office hours are Mon-Thurs 9am-3pm)
  • Aptitude with office productivity software (Microsoft Word, Excel, Outlook, Google Docs), web browsers and social media
  • Aptitude with QuickBooks accounting software
  • Familiarity with accounting processes including accounts payable and payroll
  • Demonstrated knowledge and experience with administrative processes and supporting technology
  • Successful project experience demonstrating an understanding of requirements, work scope, schedules and budgets
  • Able to protect confidential information

Commitment:

  • Part-time position of 34 hours per week (standard office hours are Mon-Thurs 9am-3pm)
  • Expectation is for a minimum one-year commitment
  • Salaried position at $26,520 per year ($15 per hour), negotiable depending on experience
  • Reports directly to Senior Pastor
  • Performance review after 3 months evaluation period; annual performance review thereafter
